Assessment Lab
This module is part of the Mentoring Program and provides two opportunities to submit transcripts from recent coaching sessions for individualized written feedback. Each transcript is reviewed and evaluated against the ICF Core Competencies and the minimum skill requirements for PCC-level performance.
You’ll receive detailed feedback highlighting your strengths and identifying specific areas for growth to help you consistently coach at the PCC level. This insight will be essential in shaping your learning objectives and guiding your development throughout the rest of the program.
When to Submit
- As soon as possible, now.
- At the start of the Personal Groundwork for Coaching (PGFC) course, which is about 6 weeks from when you started your Professional Coach course.
This is an automated process that works off the transcript of your client recording.
This would be a logical sequence:
- Record your coaching session that is no longer than 60 minutes and ideally 30 to 45 minutes.
- Transcribe your recording (more on that later) into a Word doc.
- Review the transcript to correct and fix:
- The speakers are marked correctly with Coach and Client labels (not name and not Speaker 1, 2.
- Look for words that were not transcribed correctly and edit.
- Upload the Word doc to us.
- We will send you back a report with our feedback.
How to Transcribe Your Coaching Session into a Word Document
Transcribing your recorded coaching session into a written format is a valuable part of your development—whether you’re preparing for feedback, reflection, or formal ICF submission. Here’s how to do it effectively and efficiently.
Step 1: Choose Your Transcription Method
There are three main ways to get your session transcribed:
Option 1: Use Automatic Transcription Tools (Fast & Convenient)
These tools use AI to transcribe your audio file automatically. You’ll still need to proofread, but this is a great time-saver.

Steps to Use TranscribeMe
Sign Up / Login – Go to TranscribeMe’s website. Create an account or log in if you already have one.
Upload Your File – Click on the “Upload” button. Select an audio or video file from your device. Ensure the file format is supported (e.g., MP3, WAV, MP4).
Choose a Service Option – Select the turnaround time and accuracy level (Standard, Verbatim, AI-generated, or Human transcription). Choose any additional services like timestamping or multiple speaker identification.
Make Payment – Review the pricing based on the file length and selected services. Complete the payment through the available options (credit card, PayPal, etc.). Use coupon code CC_OOTB for special pricing.
Receive and Download Your Transcript – You’ll get an email when the transcription is ready. Log in to your account and download the transcript in your preferred format (TXT, Word, PDF, etc.).
How to Use (Example: Otter.ai)
- Create an account at otter.ai
- Upload your mp3 or m4a file.
- Otter will transcribe the file automatically.
- Review the transcript for errors.
- Export the transcript as a Word document (.docx) or text file.
Option 2: Manual Transcription (Most Accurate)
This takes more time but ensures the highest accuracy—especially with coaching language or soft-spoken clients.
How to Do It:
- Open your audio file in a media player (e.g., VLC, Windows Media Player).
- Open Word or Google Docs side-by-side.
- Play, pause, and type what you hear.
- Use a headset and slow the playback speed if needed.
Tip: Even manual transcription can be sped up using tools like oTranscribe (a free tool that lets you control playback and type in the same window).
Option 3: Hire a Transcription Service (If Allowed)
You may use a secure transcription service, but only with your client’s explicit consent, and you must ensure confidentiality is protected.
Trusted Services:
- Rev.com – Human transcription ($1.50/min) or AI ($0.25/min)
- Temi.com – Automated, fast, and low-cost
🚫 Be cautious about uploading coaching conversations to public or unsecured platforms.
Confidentiality Reminder
- Always have the client’s permission to transcribe a recorded session.
- Never share transcripts outside of the intended learning/evaluation environment.
- Avoid using tools that sell or store uploaded data without clear privacy policies.
Formatting Tips for Your Word Document
- Include a title with your name, client ID (not name), and session date.
- Clearly mark the Coach and Client in dialogue format.
Example:Coach: What would you like to focus on today?
Client: I’ve been feeling overwhelmed at work lately…
- Use timestamps every few minutes (optional but helpful).
- Proofread and clean up filler words (“um,” “like,” etc.) only if requested.
